At Copeland MD Aesthetics, we aim to provide a fair, transparent, and respectful approach to refunds and cancellations. We understand that plans can change, and when they do, our team is here to guide you through the process with clarity and care.These policies are in place to ensure clarity, fairness, and consistency in the delivery of our services.
General Refund Policy
What is your refund policy?
Refunds may be requested within 14 days of purchase for treatments and in-clinic products, provided products are unopened and in original condition. Online product purchases may be returned within 30 days of shipment if unopened. Refunds are based on the actual amount paid, after any discounts, vouchers, or credits are applied. Shipping and handling fees are non-refundable.
Used products are non-refundable, except in cases of an allergic reaction, in which case store credit may be issued at management’s discretion with appropriate documentation.
Are any purchases non-refundable?
Yes. The following purchases are non-refundable:
- Promotional or sale-priced treatments or products
- Gift cards, vouchers, store credit, and in-clinic credit
Promotional and sale purchases are final sale and may only be exchanged for store credit.
How are refunds processed?
Approved refunds are issued to the original payment method and calculated based on the actual amount paid, including applicable taxes, after discounts or credits. If the original payment method is no longer valid, a store credit will be issued instead.
What is your return policy on promotional and sale purchases?
All promotional and sale purchases are final sale and non-refundable. These purchases may be exchanged for store credit only, calculated based on the amount originally paid.
Store credit issued from promotional or sale purchases expires 12 months from the original purchase date for non-members and 18 months for Loyalty Members. An administrative fee of $100 applies to exchanges; this fee is waived for Loyalty Members.
Treatment packages are offered at a preferred rate compared to purchasing individual treatments. Package pricing reflects a commitment to complete the full series. If a package is cancelled, exchanged, or converted to store credit before all treatments have been used, the value of treatments already received will be recalculated at the regular individual treatment price. Any remaining balance will then be issued as store credit.
Promotional pricing, sales, or special offers cannot be applied retroactively to treatments or packages that have already been purchased.
Store credit may not be applied toward promotional pricing, sale items, or special offers unless otherwise specified.
Promotions, offers, and pricing may vary over time and cannot be applied to prior purchases.
Expiration
Do treatments expire?
- Regular-price treatments expire 12 months from the purchase date
- Member-price treatments expire 18 months from the purchase date
Gift Cards, Store Credits & Transfers
How do gift cards, vouchers, and store credit work?
Dollar-value gift cards, vouchers, and store credit (not tied to a specific treatment) do not expire, but are non-refundable and non-transferable unless otherwise stated. Discounted treatment-based gift cards or vouchers expire 12 months for non-members and 18 months for members.
Can store credit or services be transferred to someone else?
In limited circumstances, store credit, gift cards, vouchers, or pre-paid services may be transferred to another individual with written consent from both parties. Requests must be submitted in writing with supporting documentation and are subject to management approval.
Can store credit or gift cards be redeemed for cash?
No. Store credit, in-clinic credit, gift cards, vouchers, and promotional credits cannot be redeemed for cash, in whole or in part, unless required by law.
Are store credit, gift cards, and vouchers treated differently?
No. For the purposes of this policy, store credit, in-clinic credit, gift cards, and vouchers are treated equivalently, unless otherwise specified.
Cancellations & No Show's
What is your cancellation and no-show policy?
- A $100 no-show fee applies if you miss an appointment without notice.
- A $50 late cancellation fee applies if a pre-paid service is cancelled within 48 hours of the appointment.
